Located within our modern Spao clinic facility in Penrith, this position offers an exciting opportunity for an individual who is passionate about delivering excellence in administrative and customer service support to our patients, clinicians, and wider team.
About the Role
This is a hands-on and important front of house role.
As a key point of contact for the clinic, you will provide a welcoming and professional experience for patients while supporting the smooth day-to-day operation of the practice. The role requires strong organisation, attention to detail, and a proactive approach to ensure administrative processes are managed efficiently and accurately.
You will play an integral role in delivering high-quality administrative and customer service support, contributing to operational efficiency and a positive patient experience.
Key Responsibilities
Manage reception and administrative functions within a prosthetics and orthotics clinic
Deliver a professional front-of-house experience, including bookings, enquiries, and maintaining a well-presented environment
Handle incoming and outgoing calls in a timely and professional manner
Collaborate with the clinic team to support business growth and enhance customer satisfaction
Provide outstanding customer service with a compassionate and client-focused approach
Liaise with internal and external stakeholders, responding efficiently with minimal supervision
Maintain accurate data entry in ERP systems (SAP Business One) and generate relevant reports
Support clinicians with sales processes, including liaising with funding bodies for approvals
Receipt and dispatch of goods/mail.
Ensure the integrity and accuracy of clinical data and client records
Work both independently and collaboratively across other Spao clinic locations as required
Skills & Experience
3+ years' experience in administrative or customer service functions
Healthcare, medical administration, or disability services experience is strongly preferred and will be given priority consideration
Knowledge of the NDIS (highly regarded)
Compassionate, professional, and customer-focused approach
Strong problem-solving ability and commitment to service excellence
Excellent organisational, time management, and planning skills
Strong analytical skills with experience in reporting
Proficiency in IT systems (experience with SAP Business One highly desirable)
Minimum 6 months practical experience with SAP Business One highly regarded
SAP B1 system experience preferred, with training provided for suitable candidates
Excellent written and verbal communication skills
High attention to detail and ability to manage competing priorities
Education & Training
Intermediate to advanced proficiency in the Microsoft Office Suite
Certificate or Diploma in Business Administration (or equivalent) preferred
